These Terms of Service ("Terms") govern your access to and use of the Platform, including conference management services, paper submission systems, reviewer management tools, and related services. By accessing or using the Platform, you agree to be bound by these Terms.

1 Eligibility

Who may use the Platform.

Welcome to Censula ("Platform", "we", "our", or "us").

You must be at least 18 years old or have the legal authority to enter into these Terms under applicable laws.

By registering an account, you represent that:

  • The information you provide is accurate and complete.
  • You are authorized to use the Platform.
  • You will comply with all applicable laws and regulations.

2 User Accounts

Keep your credentials private — your account, your responsibility.

Users are responsible for maintaining the confidentiality of their account credentials.

You agree to:

  • Keep your password secure.
  • Notify us immediately of any unauthorized access.
  • Be responsible for activities conducted through your account.

We are not liable for losses resulting from unauthorized use of your account.

3 User Roles

Four roles, each with its own permissions and responsibilities.

The Platform may provide different user roles, including but not limited to:

  • Organizer
  • Author
  • Reviewer
  • Platform Administrator

Permissions and responsibilities vary by role.

Users must not attempt to access functions or data beyond their authorized permissions.

4 Conference Creation

Organizers run their conferences — the Platform provides the tools.

Organizers may create and manage conferences using the Platform.

Organizers are solely responsible for:

  • Conference content
  • Submission requirements
  • Reviewer assignments
  • Editorial decisions
  • Communication with participants

The Platform does not supervise or validate conference quality, legitimacy, or academic standards.

5 Paper Submission

Submit only work you own or have the right to submit.

Authors may submit papers to conferences available on the Platform.

By submitting content, authors represent that:

  • They own or have the right to submit the content.
  • The content does not infringe intellectual property rights.
  • The content does not contain unlawful or malicious material.

Authors remain responsible for the accuracy and legality of submitted materials.

6 Peer Review Process

Fair, confidential reviews — recommendations are advisory only.

Reviewers are expected to:

  • Conduct reviews fairly and professionally.
  • Maintain confidentiality.
  • Avoid conflicts of interest.

Review recommendations are advisory only.

Final publication and acceptance decisions are made by conference organizers.

The Platform does not participate in editorial decision-making.

7 Intellectual Property

Your work stays yours — the Platform receives only a limited operating license.

Authors retain ownership of their submitted works.

By uploading content, authors grant the Platform and conference organizers a limited license to:

  • Store submitted materials.
  • Process submissions.
  • Facilitate review workflows.
  • Display information to authorized participants.

The Platform does not claim ownership of user-submitted content.

8 Fees and Payments

Payments happen between organizers and participants — not through the Platform.

Some conferences may require registration fees or other payments.

Such payments may be processed outside the Platform.

The Platform is not responsible for:

  • Payment disputes
  • Refund requests
  • Financial transactions between organizers and participants

Any payment-related issues must be resolved directly with the conference organizer.

Pay carefully. The Platform is not a party to payment transactions — always confirm fee details with the conference organizer before paying.

9 Acceptable Use

Seven things you must never do on the Platform.

Users agree not to:

  • Upload malicious software.
  • Distribute spam.
  • Attempt unauthorized access.
  • Interfere with Platform operations.
  • Upload unlawful content.
  • Violate intellectual property rights.
  • Misrepresent identities or affiliations.

10 Suspension and Termination

Violations can end your access — immediately when protection requires it.

We reserve the right to suspend or terminate accounts that:

  • Violate these Terms.
  • Threaten Platform security.
  • Engage in fraudulent or abusive conduct.

Suspension may occur without prior notice when necessary to protect the Platform or its users.

No prior notice required. When the Platform or its users need protection, suspension can take effect immediately.

11 Availability of Service

Reliable service is the goal — not a guarantee.

We strive to maintain reliable service availability.

However, we do not guarantee:

  • Permanent availability

Maintenance, upgrades, or unforeseen technical issues may temporarily affect service availability.

12 Data Storage and Retention

What we store, and why we keep it.

The Platform may store:

  • User accounts
  • Conference records
  • Submitted papers
  • Review records
  • Uploaded files

We may retain data for operational, legal, security, and archival purposes.

Users are encouraged to maintain their own backups of important files.

13 Disclaimer of Warranties

The Platform is provided "as is".

The Platform is provided on an "as is" and "as available" basis.

To the maximum extent permitted by law, we make no warranties regarding:

  • Accuracy
  • Reliability
  • Availability
  • Fitness for a particular purpose

Use of the Platform is at your own risk.

14 Limitation of Liability

What we can — and cannot — be held liable for.

To the fullest extent permitted by law, the Platform and its operators shall not be liable for:

  • Lost submissions
  • Missed deadlines
  • Conference decisions
  • Reviewer recommendations
  • Payment disputes
  • Loss of profits
  • Indirect or consequential damages

Our total liability shall not exceed the amount paid by the user to the Platform, if any.

15 Changes to These Terms

Terms may evolve — continued use means acceptance.

We may update these Terms from time to time.

Updated versions will become effective upon publication on the Platform.

Continued use of the Platform constitutes acceptance of the revised Terms.

16 Governing Law

Which law applies.

These Terms shall be governed by and interpreted in accordance with the laws applicable in the jurisdiction where the Platform operator is established, unless otherwise required by applicable law.
